Terms and Conditions

These Terms and Conditions apply to all services provided by Saxon Surveying. By booking, accepting a quotation, or using our services, you agree to the terms set out below.


1. About Us

Saxon Surveying provides Energy Performance Certificates (EPCs) and related surveying services to domestic and commercial properties across England.


2. Contract Formation

Acceptance of a quotation, whether verbally, in writing, electronically, or by proceeding with a booking, constitutes acceptance of these Terms and Conditions.

These Terms and Conditions form the contract between you and Saxon Surveying for the provision of services.


3. Scope of Services

Services include, but are not limited to:

  • Domestic Energy Performance Certificates
  • Commercial Energy Performance Certificates
  • Associated property assessment services

An EPC reflects the condition of the property and information available at the time of assessment.


4. Customer Responsibilities, Access & Assumptions

You agree to:

  • Provide safe and reasonable access to the property
  • Ensure all relevant areas are accessible at the time of inspection
  • Provide accurate and complete property information

Where access to parts of the property is restricted, reasonable assumptions may be required in accordance with EPC methodology.

Saxon Surveying is not responsible for inaccuracies arising from limited access or necessary assumptions.


5. Audit, Evidence & Accreditation

EPCs are subject to audit by accreditation bodies.

Assessors may collect photographic evidence, measurements and floor plans to demonstrate compliance with EPC methodology and accreditation requirements. This evidence is retained securely for audit and quality assurance purposes.


6. Accuracy & Re-lodgement Fees

If inaccurate, incomplete or misleading information is provided by the property owner, occupier or their representative, and this results in a re-lodgement, a re-lodgement fee may apply.

No additional charge will be made where re-lodgement is required due to an error made by Saxon Surveying or the appointed assessor.


7. Pricing & Payment

  • Prices are confirmed at booking
  • Payment is due on receipt of the completed certificate(s), unless otherwise agreed
  • Certificates may be issued electronically

We reserve the right to withhold documentation where payment has not been made in line with agreed terms.


8. Late Payment

If payment is not received within 14 days of issue, we reserve the right to:

  • Charge statutory interest in line with the Late Payment of Commercial Debts (Interest) Act 1998
  • Apply a fixed administration fee of £40
  • Suspend further services until payment is received

We will always aim to resolve payment matters amicably.


9. Appointments, Access & No-Show Fees

You are responsible for ensuring access at the agreed appointment time.

If access is not possible due to no attendance, unavailable keys, unsafe access or inaccessible areas, a fixed fee of £50 may be charged.

This fee also applies where a re-visit is required due to access issues outside of our control.


10. Use of Subcontractors & Responsibility

Saxon Surveying may use subcontracted energy assessors operating under the Saxon Surveying brand.

All assessors will hold appropriate qualifications, accreditation and professional insurance.

The assessor who lodges an EPC remains professionally responsible for that certificate. Where an assessor is unavailable or unwilling to make required amendments, Saxon Surveying will take reasonable steps to assist, including liaising with the relevant accreditation body where appropriate.


11. Liability

Services are provided with reasonable care and skill.

We are not responsible for:

  • Decisions made solely based on EPC ratings
  • Changes to property performance after assessment
  • Inaccuracies arising from incorrect information supplied by others
  • Limitations caused by restricted access

Nothing in these terms limits liability where it cannot be excluded by law.


12. Complaints Procedure

If you are unhappy with our service:

  1. Please contact us in writing outlining your concerns
  2. We will investigate and aim to provide a fair response

If unresolved, complaints may be escalated to our accreditation body.


13. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.


14. Changes to These Terms

These Terms may be updated from time to time. The latest version will always be published on this page.
